Position overview:
Reporting directly to the Plant manager, our future administrative assistant will be responsible for managing and distributing information aligning with company standards, handling administrative requests, Organizing and scheduling appointments. in addition to coordinating logistic preparation for events, visits
Key Responsibilities:
Provide general administrative support to engineering leadership team
Organize meetings including scheduling, sending reminders, and meeting minutes records
Perform offices duties and ordering supplies
Track Engineering team Project time posting (DR Tracking and follow up)
Coordinate communications and marketing actions aligning with company standards
Coordinate logistic preparation for events, visits, communication meetings
Make travel and accommodation arrangements: visa, booking, TAPS preparation …
Coordinate executive communications and interfacing with suppliers and corporate management.
Manage site authorization access and welcome visitors
Format information for internal and external communication – memos, emails, presentations, reports
Key skills and Qualifications:
Work experience as an Executive Assistant, or similar role with Master’s degree in BA or related
Excellent MS Office knowledge
Outstanding organizational and time management skills
Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
Excellent verbal and written communications skills
Discretion and confidentiality
Proficiency in both English & French languages, spoken and written
