Job Purpose
The purpose of this role is to ensure that all Project Documentation is processed in accordance with the requirements of JESA procedures and the relevant client requirements. The Document Controller may work in the Home office and simultaneously work on multiple projects or may be co-located as part of a dedicated project team either in an office or on-site. He or she can perform as lead on a project
Main Scope/Responsibilities
Controls engineering documentation, both electronic and paper-based files, ensuring drawings, datasheets, specifications, requisitions, and vendor data is recorded and distributed to internal and external recipients in accordance with Document Control procedures.
Ensures the project work is covered for vacation and unplanned absences. Responsible for a smooth handover. Participates in the delivery of training.
Encourages knowledge of and compliance with requirements and JESA internal processes. Works to resolve inter-discipline, vendor, and customer issues under supervision.
Ensures discipline technical work and team activities meet all health, safety, environmental, and security requirements.
Register engineering documents and drawings in the associated databases
Support the PM/PE for the elaboration of the DDM (Document Distribution Matrix) in accordance with quality procedures.
Ensure that document revisioning is done according to Document Control procedures.
Set-up the document management execution plan with the document control manager
Register and track review cycles of Vendor Data in JPI system;
Register and record Client/Consultant Data in the JPI system.
Preparation and implementation of vendor requirements procedure.
Prepare drawing and document packages for issue; Prepare handover documentation.
Update and maintain filing systems; Register and archive historical data; Project documents statue reporting

Assists in training of starters, Assist the engineering/project team with the effective use of the Electronic Document and Records Management System (EDMS), including providing one-on-one training.
Education
Bac +4/5 (Engineering School/university, business administration).
Curricula: Technical, Administration or Engineering background
Global Experience
2 to 5 years with Experience in an administration or projects environment in document control.
Exposure to Electronic Document Management systems.
Specific Experience in the position
Minimum of 2 years as an associate Document controller
