Job Purpose
The Receptionist is responsible for greeting clients, job applicants and visitors to our office. he/She will be in charge of giving clients directions to various parts of the office, contacting employees regarding visitors, answering phones and taking messages, and sending, sorting and distributing mail.
Main Scope/Responsibilities
Greet and welcome guests as soon as they arrive at the office or JESA front desk in a friendly manner, and answer any questions visitors have
Receive deliveries; sort and distribute incoming mail
Fulfil the waybills for the shipment forms and coordinate with the local and international express shipment providers
Maintain reception area and all common areas in a clean and tidy manner at all times
Maintains security by logging all visitors
Direct visitors to the appropriate person and office
Answer, screen and forward incoming phone calls and keep detailed and accurate records of visitor requests and of calls received. Taking and ensuring messages are passed to the appropriate staff member on a timely basis
Undertake such other duties and special assignments as may be allocated by the Manager such as performing ad-hoc administrative duties.
Education
Bac +2/3
Curricula: Business Administration and/or Management
Global Experience
2-5 years
Specific Experience in the position
Minimum 3 years prior experience as a receptionist or working with administrative/clerical procedures.
