Job Purpose
Senior Project Delivery System Administration Engineer owns wing to wing administration activities post hand over of complex project delivery tools. This role sets the standard for systems to be used in specific disciplines, including their configuration and integration requirements.
Main Scope/Responsibilities
Work Processes Establishment:
Assessment & Development: Evaluate existing work processes for system administration tasks, identify workflows, and create standardized operating procedures (SOPs) with comprehensive documentation.
Training & Implementation: Provide onboarding and training sessions for team members on new work processes. Use change management practices to ensure smooth adoption of modifications, minimizing disruptions and risks.
Man-Hour Estimation and Monitoring:
Estimation & Monitoring: Estimate man-hours per project, monitor consumption regularly, and raise alerts if necessary.
Project Setup & Management: Oversee project setup, user creation, access management, and collaboration with IT for license attribution and system backups.
Technical Support:
Client Assistance: Act as the first point of contact for technical support, provide guidance, troubleshoot issues, and ensure timely follow-up and closure of support tickets.
Issue Escalation: Escalate unresolved issues to appropriate teams and maintain detailed records in the ticketing system.
Adoption Level Monitoring:
KPI Definition & Monitoring: Define adoption KPIs (e.g., adoption rate, training participation) and monitor trends. Identify barriers to adoption, collect user feedback, and work with stakeholders to implement corrective actions.
Training Completion: Ensure all users receive adequate training on new technologies or processes to facilitate adoption.
Performance Monitoring:
KPI Development & Review: Collaborate with stakeholders to define and update KPIs that align with organizational goals. Monitor system performance, conduct regular reviews, and diagnose issues when performance deviates from targets.
Continuous Improvement:
Feedback & Evaluation: Solicit feedback, identify areas for improvement, and recommend corrective actions. Monitor effectiveness through follow-up audits and performance metrics.
Process Automation: Identify opportunities for process automation and coordinate with the Digital Transformation department to leverage automation tools.
Stay Updated: Keep up with industry trends, best practices, and international benchmarking.
Audit Execution and Documentation:
Audit Process: Conduct audits of systems, processes, and controls to assess compliance. Document findings, communicate with stakeholders, and facilitate corrective actions.
Reporting: Compile clear and concise audit reports, highlighting non-compliance, control weaknesses, and opportunities for improvement.
Provider Relationship Management:
Vendor Relations: Serve as the primary contact for external service providers, maintaining positive relationships, and conducting regular performance reviews.
Issue Resolution: Coordinate the resolution of vendor-related issues, act as an intermediary between internal stakeholders and vendors, and maintain comprehensive records of communications and outcomes.
Education
Education (Bachelor/Master/PhD): Bachelor Bac+3 or equivalent
Curricula (Arts, Sciences,…): Engineering/ System Architecture.
Relevant certifications (specific tools)
Global Experience
Global Experience (number of years): 4 to 6 years
Specific Experience in the position
More than 3 years of working experience with tools adminstrations.

- Cost control & Risk tools (Cost and progress measurement)
- Scheduling tools (Oracle P6)
- Field services (AWP and commissioning & completion tools)
- PMO & Assurance Inhouse tools development
- PIM (EDMS, Aveva AIM)
- E&D (Autodesk, Aveva, Hexagon suits)
